Once the Microsoft Dynamics integration has been configured and users have authenticated their Microsoft Dynamics account, records can be exported directly from the Cognism Web Application.
During export, Cognism checks for existing Leads, Contacts, and Accounts using your configured matching rules. If no match is found, new records are created. If a matching record exists, Cognism updates the existing record according to your configured update rules.
Before you begin
Before exporting records, ensure that:
- The Microsoft Dynamics integration has been configured.
- You are signed in to Microsoft Dynamics.
- Field mappings have been reviewed.
- Update Rules and Syncing Rules have been configured.
- You have permission to create or update Leads, Contacts, and Accounts.
Export from the Cognism Web Application
- Search for the contacts you want to export.
- Select one or more contacts.
- Click Export.
- Select Microsoft Dynamics as the export destination.
- Review the mapped field values.
- Confirm the export.
Cognism will create new records or update existing records according to your configured Update Rules and Syncing Rules.
Choose how prospects are created
Administrators can configure how new prospects are exported into Microsoft Dynamics.
Available options are:
- Leads and Contacts – Export records as both Leads and Contacts.
- Leads only – Export all new records as Leads.
- Contacts only – Export all new records as Contacts.
This behaviour is controlled by the Syncing Rules configured by your administrator.
How Cognism handles matching
Before creating a new record, Cognism checks Microsoft Dynamics for an existing match.
Leads and Contacts
Records are matched using:
- Cognism ID (if mapped)
- Email address
- First Name + Last Name + Company Name + Company City
- First Name + Last Name + Normalized Company Name + Company City
- First Name + Last Name + Company Name
- First Name + Last Name + Normalized Company Name
Accounts
Accounts are matched using:
- Cognism ID (if mapped)
- LinkedIn URL (if mapped)
- Company domain
- Company Name + City
- Normalized Company Name + City
- Company Name
- Normalized Company Name
If a matching record is found, Cognism updates the existing record according to your configured Update Rules instead of creating a duplicate.
What happens during export?
Depending on your configuration, Cognism can:
- Create new Leads.
- Create new Contacts.
- Create new Accounts.
- Update existing Leads, Contacts, or Accounts.
- Associate exported prospects with matching Accounts.
- Populate mapped Microsoft Dynamics fields using Cognism data.
The exact behaviour depends on your configured Update Rules, Syncing Rules, and field mappings.
After the export
Once the export completes:
- New records are created where no matching records exist.
- Existing records are updated according to your Update Rules.
- Mapped fields are populated using Cognism data.
- Records become immediately available within Microsoft Dynamics for further sales and CRM activities.
