How to Add Users and Manage Teams

Learn how to invite users, create teams, and manage team membership in the Cognism Legacy Platform.

Before You Begin

Ensure that:

• You are logged in to the Cognism Legacy Platform.
• You have administrator permissions.

Only administrators can invite users and manage teams.

Access Users & Teams

1. Click your user avatar in the upper-right corner.
2. Select Settings.
3. Open Users & Teams.

The Users & Teams page contains two tabs:

• Users – Invite and manage users.
• Teams – Create and manage teams.

Invite a User

To invite a new user:

1. Open the Users tab.
2. Click Add User.
3. Enter the user's email address.
4. Select the appropriate Role.
5. Optionally, assign the user to a Team.
6. Click Invite.

The user receives an invitation email to activate their account.

Note: Invited users appear with a Pending Invite status until they accept the invitation and complete their account setup.

Create a Team

To create a new team:

1. Open the Teams tab.
2. Click Create New Team.
3. Enter a team name.
4. Click Create.

The new team is immediately available.

Invite Users to a Team

You can also invite users directly from the Teams tab.

1. Select the team.
2. Click Add User.
3. Enter the user's email address.
4. Select the appropriate role.
5. Click Invite.

The invited user is automatically assigned to the selected team.

Manage Team Membership

Administrators can update team membership at any time.

From the Teams tab, you can:

• Add users to a team.
• Remove users from a team.
• View the users assigned to each team.

Removing a user from a team does not remove their Cognism account.

Troubleshooting

A user has not received their invitation

Check that:

• The email address was entered correctly.
• The user is listed with a Pending Invite status.
• The invitation email has not been filtered into the user's spam or junk folder.

If the invitation has expired, resend the invitation from the Users tab.

Unable to invite a user

If you cannot send an invitation:

• Verify that you have available user licences.
• Confirm that you have administrator permissions.
• Check whether the user already exists or has a pending invitation.

Expected Result

After completing these steps:

• New users receive an invitation to join Cognism.
• Users can be assigned to teams during or after the invitation process.
• Administrators can manage team membership from the Teams tab.
• Pending invitations remain visible until accepted or resent.
