After HubSpot Data Import has been enabled, Prospector includes HubSpot-specific filters that help you identify net-new prospects, search existing HubSpot accounts, and filter results based on HubSpot ownership.
These filters are available to all users within your Cognism account once the initial Data Import has completed.
Note: HubSpot filters are only available after HubSpot Data Import has been successfully enabled and the import status is Active.
Contact Search
Open Prospector and select the Contact tab.
HubSpot filters are available within the Contacts and Companies filter sections.
Exclude Existing Contacts
Use the Exclude Existing Contacts option to remove contacts that already exist in your HubSpot CRM.
This is useful when prospecting for entirely new contacts that have not yet been added to HubSpot.
When enabled, the Contact Owner filter becomes available.
You can choose to:
- Exclude contacts owned by All Owners.
- Exclude contacts owned by one or more specific HubSpot users.
Search Contacts at Existing HubSpot Companies
The Companies filter allows you to search for contacts who work at companies already stored in HubSpot.
You can:
- Search across All Owners.
- Filter by one or more specific Company Owners.
- Exclude contacts that already exist within those HubSpot companies.
This is useful when expanding existing accounts by finding additional decision-makers.
Note: The Contacts and Companies HubSpot filters cannot be used together in the same Contact search.
Company Search
Open Prospector and select the Company tab.
HubSpot filters help identify companies that already exist in your CRM or uncover new target accounts.
Filter by Company Owner
Use the Companies filter to search companies owned by:
- All HubSpot owners.
- One or more specific HubSpot users.
This is useful when working assigned accounts or reviewing ownership across your sales team.
Filter by Company Type
Use the Company Type filter to search companies based on your mapped HubSpot Company Type values.
You can:
- Include one or more Company Types.
- Combine Company Type with Company Owner for more targeted searches.
- Exclude selected Company Types from your results.
Find Net-New Companies
Enable Exclude Existing Companies to remove companies that already exist in HubSpot.
This allows you to focus on new prospect accounts that have not yet been added to your CRM.
HubSpot Status Indicators
Once HubSpot Data Import has completed, Cognism can indicate whether a contact or company already exists in your HubSpot CRM.
Where a match is found, Cognism may also display HubSpot-specific information such as the assigned owner.
Matching is performed using key identifiers such as email addresses, company domains, and company names.
Best Practices
HubSpot filters are most effective when combined with Prospector filters such as:
- Industry
- Technologies
- Company Size
- Revenue
- Intent
- Event Triggers
For example, you can:
- Find net-new companies using Salesforce that are not yet in HubSpot.
- Search existing HubSpot accounts for additional decision-makers.
- Exclude existing contacts while prospecting for new opportunities.
Troubleshooting
HubSpot Filters Are Not Available
If HubSpot filters do not appear:
- Confirm that HubSpot Data Import has been enabled.
- Verify that the Data Import status is Active.
- Wait for the initial import and matching process to complete.
For setup instructions, see Enable HubSpot Data Import.
I Can't See My HubSpot Owners
If expected HubSpot owners are missing:
- Confirm that the latest HubSpot data has been synchronised.
- Verify that the records are assigned to the correct owner in HubSpot.
- Run a manual re-sync if ownership has recently changed.
My Existing Contacts or Companies Are Not Being Matched
Matching is based on key identifiers such as email addresses and company domains.
If expected records are not matched:
- Verify that the contact email or company domain is correct in HubSpot.
- Allow time for recent HubSpot changes to synchronise.
- Run a manual re-sync if required.
